Recurring Processes

Recurring Processes:

Under the tab for recurring processes, you have the option to set up a process that will automatically repeat. This could, for example, relate to birthdays, anniversaries, obtaining criminal records, or planning lunch.

How does a recurring process work?

First, you create a process template. In the process template, you include tasks, messages, and engagements. This might include something like "Remember to buy flowers." If messages, tasks, and engagements need to be sent out before a specific date, the process must have a cutoff date. For instance, if the message "Remember to buy flowers" should be sent out two days before the anniversary, you would set “-2” as the dispatch time for the message.

Creating a recurring process:

Next, you create a recurring process under the "recurring processes" tab.

Here, you name the recurring process and then select which process template you want to use. You can choose from all your process templates.

Date or field on the employee data card:

Recurring processes can be set up in two ways: either from a field on the master record (e.g., birthday) or based on a date.

Date:

You can choose for the process to start on a specific date. This might be if you want to send a lunch order to employees weekly.

Here, you select the date for when the process should start, e.g., 1/10-24. Then, you choose how often the process should repeat, e.g., once a week. Thus, the process will be dispatched once a week starting on 1/10.

If you click on the arrow, you can choose the day, week, month, or year, thereby customizing the recurrence of the process.

Field on the data card

You can also choose for a field on the data card to define when the process is initiated. For example, if you select the field “employment start” from the data card, the process will be based on this date and then repeat, e.g., 5 years later.

This can be used for anniversaries or birthdays.

Assigning the process:

Next, you choose who the process should be assigned to. You can either select everyone in the company or choose to add manually, where you can select from people and roles. If everyone in the company needs to fill out “lunch,” you would select “everyone in the company” here.

Additionally, the tool can also be used as a reminder for the annual performance review (MUS). For example, one might choose for the field “employment start” to define the process's start date, and the process should repeat once a year. Then, you choose for the process to be assigned to all employees. The performance review process will then be initiated annually based on each employee's employment start date.
