Process Examples

The processes you can learn about here are the same examples that you will find illustrated in your HR-ON Staff account.

Pre-hire

The illustration below shows you an example of a what a pre-hire process could look like. The cut-off date is set to be the date on which you will have a signed contract in hand. This is also the date where the next process can begin.

Two engagements will be send out in this pre-hire process. One for the new employee and one for the immediate manager, who will gather relevant information for the contract.

When the new employee and the immediate manager has completed the engagement, a generate contract task will be send out. The two prior engagements has aleready gathered the information that should be used for this step.

When the contract has been drafted and the relevant signatures have been obtained, a notification has been set up to notify the relevant HR person that the contract has been signed by both parties. You can set up notifications by heading to the tab Settings and then go to Notifications. Once this step has been completed, you can move onto the next step which is attaching a preboarding process.

Below you can see what the employment contract and signature notification looks like. To learn more about notifications, see this entry: Notifications.

Preboarding

Below you can see an example of a preboarding process. In this case the cut-off date is the day on which the employee start their new job.

The preboarding process is mainly made up of a list of tasks that must be completed before the new employee arrive. This process is divided into two projects that each different tasks that must be carried out by one or more employees. A message has been added to the project 'Practical tasks', which will automatically be send out to the immediate manager as a reminder that the starting date of the new employee is coming up.

Additionally, an engagement with relevant information concerning the first day and the organization has been added. This will automatically be send out to the employee.

Onboarding

The illustration below shows what an onboarding process could look like. The cut-off date is the new employees first day on the job.

This onboarding process consists of a checklist of tasks that must be completed on or after the first day on the job. The tasks has been divided into four different categories that must be completed by one or more employees. The process contains both specific tasks as well as multiple calendar invites for various status meetings. Additionally, this process has an engagement attached that must be send out to the new employee where they are asked to evaluate their first week on the job.

Offboarding

This is an example of a offboarding process. In this case, the cut-off date is set to be the employees last day on the job.

The offboarding process contains a set of tasks that must be completed on the day of the employee's resignation. This can be tasks related to the reassignment of duties or deletion of system accesses.

Employee Development Interviews

Below is an example of an Employee Development Interview process. The cut-off date is on the day which the interview takes place.

This process features two Engagements. The first Engagement is an Employee Development Interview form that the employee must fill out prior to the interview. The second Engagement is send out to the employee following the interview. This Engagement allows the employee to evaluate the interview. The process also contains a calendar invite for the day of the interview. During the interview you can use the Engagement, through which the form was filled out, to take notes and make appointments.
