Time Tracking: How to Register Your Work Hours on the Staff Web Version

In this guide, we will go through how to register your work hours using the time tracking tool in HR-ON Staff.

 

You can register your work hours on both the web version of Staff and the StaffBuddy app, provided your company has purchased the latter. In this guide, we will explain how to register your work hours using the web version of Staff.

Furthermore, you can register your work hours by starting the timer when you begin work and stopping it again when you finish your workday. It is also possible to set up a template so that your work hours are automatically recorded, which can be convenient if you have fixed working hours, such as 8 AM to 4 PM. You simply need to approve the times at the end of the week. You can read about this part in the final section of the guide.

 

Three Ways to Register Your Work Hours

There are several ways to register your work hours. We will cover all three ways in the guide. The three methods are as follows:

 
  • The first way is to start the time tracker when your work day begins and stop the time tracker when your work day ends
  • The second way is to set templates for automatic time-tracking. This is useful if you have regular working hours, like 8 AM to 4 PM. This way, you won't have to manually register your start and end times. At the end of the week, you may need to review and make any necessary adjustments to the registered work hours. You can read more about this at the end of this guide
  • The third way is to register your work hours for previous days, such as registering Monday's work hours on Tuesday, etc.
 

How to Register Your Working Hours Using a Timer

You must log in to register work hours on the Staff web version. Once logged in, you can see a green "Start time registration” button at the top of your screen. Click on the button.

You will now have a couple of choices, which depend on how your company has set up the time-tracking system. For example, it can look like this where you have the opportunity to choose where you are working from:

Depending on your company's setup, you may next choose the project you are working on.

Now, at the top of the window, you will see that the timer has started. You can click the pause icon to register that you are taking a break. If you click the pause icon, you need to select the type of break you are taking (e.g., lunch break).

Once you resume work again, simply click the play icon, and you will be asked to confirm that you are ending your break. Confirm by selecting 'Yes,' and the timer tracker will continue.

When your workday ends, you can click on the stop icon, and you will receive a summary of your day.

 

How to Set Up Templates for Automatic Time Tracking

To set up a template that automatically fills in your work hours, you need to go to your profile card by clicking on your initials or portrait in the top right corner. Then, go to Time Tracking > Now click on My Work Hours:

You will see the following options:

 
  • Autofill with templates: If your company's Staff administrator has created templates, you can choose from them for your autofill. If that is not the case, follow the guide below
  • Multi-week schedule: Check this box to create weeks with different work schedules in the same template
  • Select Work Days: Now choose the days to include in the template, where M stands for Monday, T stands for Tuesday, and so on
 

Now, you can enter the work hours for each day. Set the time under Start to, for example, 8 AM and the time under End to, for example, 4 PM. Then, go to Type and choose the relevant type, such as 'Present in the office'.

Adding a break associated with a specific work period is also possible. To do this, click on Add break - see how in the image below.

It's also possible to copy a workday's times to another day by clicking on the Copy icon.

Now you have a template ready for your work hours. Your work hours will be automatically registered according to the template setup. Next, you need to review and potentially adjust the work hours when the work week ends.

 

How to Register Work Hours for Previous Work Days

The third way to register your work hours is to register hours for previous days whenever you find the time. You can do this through your personal data card/profile and then go to the "Time Tracking" menu. Click at Add previous work.

Now, a window will open where you can select a Presence type, Start date and Time for when your workday began, and End date and Time for when your workday ended.

Additionally, you can write a note. Click Save & Close to register your work hours.
