Equipment Tab Options

This chapter will walk you through the different options of the equipment tab. In short, the equipment tab is where you can register all the equipment your organization has at its disposal. The term equipment covers not only IT-equipment, but refers to other items as well such as vehicles or keycards. HR-ON Staff lets you define your own categories and their content, so they accomodate the needs of your organization.

Overview

Clicking on Equipment lets you see all of the equipment that has been registered in your HR-ON Staff account. You can also see details such as who the equipment is assigned to. Additionally, you can access different functions. Learn more about these below.

For instance, you can add new equipment, import equipment from another registration tool, search up equipment and much more. The paragraphs below will walk you through the respetive functions.

Coloumns - choose your view

By clicking on Coloumns in the top right corner, you can decide how you want the overview of the equipment to be displayed. Coloumns lets you select or deselect fields based on what is more relevant for the overview that you want.

The chosen display will only concern the account of the particular employee.

Add Equipment

Add equipment allows you to add one piece of equipment at the time - unlike the function import equipment that you will learn more about later. Add equipment is useful for example in a case where you have bought a new phone for your organization that you need to add to your list of equipment.

Clicking on add equipment lets you set up a new peiece of equipment. As a minimumm you must fill out the required fields - these are marked with a star and could be fields such as name and type. The field type lets you choose between different pieces of equipment that has been premade on the platform. Should you not find the right type of equipment, you can create it yourself by clicking on add equipment type. Learn more about this in the section Types.

Import Equipment

If you are using another tool to keep track of your organization's equipment, you can easily import these data to your HR-ON Staff account. To import equipment you must upload a .csv-file to the platform. Simply follow the guide that appear when you click on import equipment. Here you can also find a template that you can downloade and fill out. Once you have completed this, you can upload the document to HR-ON Staff. This way all of your current equipment registrations are directly entered onto the platform.

Types

The menu option types lets you define the types of equipment you wish to register in HR-ON Staff. You can add more equipment along the way if the need should occur.

To add new equipment types click on add equipment type. Give the equipment type a name.

Custom Equipment Fields

With the custom equipment fields you can add fields with information relevant for a specific type of equipment. For example, you could add a "registration number" field for the equipment type "car."

This means that when you add a new car to your registrer of equipment, you must fill out the field "registration number." The customized equipment field is linked only to the specific type of equipment that you set it up to be affiliated with.

You can add as many customized fields as you need to.

The menu "With selected"

In the bottom left corner you will find a menu option called with selected. This menu allows you to export your equipment file as an excel file as well as delete equipment from the list.

The menu is activated once you tick the box next to the type of equipment you wish to handle.

When you click on with selected > export list of equipment, you can choose which fields you want to include in your file. The fields you want to include must be in the column Active, and the fields you do not want to include in the file have to be in the Inactive coloumn.

To move a field from one column to the other simply click on the +/- icons. You can also drag-and-drop the fields between the two coloumns.

You now have a good idea of the different options of the equipment tab and its applications. You can always return to the equipment tab to edit details or add more equipment.
