Create Engagement

Create engagements

To create a new engagement, click on "Create Engagement Template." Then, name and define the type of the template.

You can either use one of the types we have created in the system or create your own. By creating multiple types, you have the opportunity to group your engagements and manage access to specific engagement types. For example, you can create a type called "preboarding" and thus group different engagements you use in connection with your preboarding under one type.

Build the content of an engagement

Now, you are ready to add content to the new engagement template.

On the left, you have an overview of the pages in the engagement. Click on "Add page" to add a new page to the template. In the middle, you will see a text field where you can insert text. By clicking on "Add element," you can insert elements such as profile fields, ratings, contacts, or descriptions.

When you create an engagement, three pages will automatically be created: a first page, a last page, and a review page. You can disable the review page by clicking the slider next to "Enable review page" on the left side.

A review page allows the employee to view the responses they have provided before they complete the engagement.

Each page must have a page title – so start with this when creating a new page.

Once the page title is filled in, you can insert text on the page. Additionally, you can click on "Add element" and, for example, use fields from the profile, contacts, ratings, and you can also insert images, videos, and much more.

Above are the different elements (descriptive, fillable fields, choices, or miscellaneous) that can be added to the engagement.

Settings in Engagement:

In the gear icon in the top right corner, you will find settings. Here, you can customize the invitation message, deadline, language, etc. This is also where the template can be made anonymous and where you can activate manager responses.

These settings can also be customized when the engagement is assigned.

Anonymous answers

You can choose for an engagement to be anonymous. This is useful if you want to gather anonymous responses from your employees, for example, in a well-being survey. It will not be possible to see what individual employees have answered or which employees have completed the engagement. However, you will be able to pull a collective anonymous response.

Manager Response

You also have the option to enable the Manager Response feature. When enabled, the employee's manager will also receive the engagement, and the manager will answer the same questions as the employee, making it possible to compare the answers at the end.

This can, for example, be used in connection with MUS.

Standard Managers: You can select, for example, "Direct Manager," and this role will always be linked as the manager when you activate Manager Response for the engagement. This ensures that the respective direct manager is the one who receives the manager response.

Setup: Write invitation message

Finally, under the invitation message, you can fill in the email or SMS that will be sent to your employees with the link to the respective engagement.

Note: It is important that the link appears in the body text of the email. You can ensure this by typing a hashtag and then selecting "Link" from the dropdown menu that appears.

Under "Communication channel," you can choose whether the message should be sent via email or SMS.

Notification settings

Under notification settings, you have the option to set up two notifications:

Engagement deadline reminder: This notification is used to inform the assignee that the deadline is approaching and that their engagement is still not completed. If a deadline is set for the engagement, the notification must be filled in, as this is the message that will be sent when the deadline is near.

Completion of engagement: This notification is used if a user wants to be notified when an engagement is completed. This might be relevant for HR or the direct manager to be informed.

When setting up the notification, you can advantageously use variables to personalize and specify the notification. The variables are created by inserting a "#".

Then, insert a recipient for the notification. If the direct manager is selected, the assignee's direct manager will receive the notification.
