Create an Engagement

In the following you can learn how to create an Engagement. We will go over the following:

Name and type

To create a new Engagement go to the tab Engagement Builder and then Templates. Click on Create engagement. Name the new template, and then choose a language for the display.

Next, choose a type. You can use the types already set up for you or create your own. By creating types, you can easily group Engagements and control access to specific types. You can e.g. create a Engagement type called "pre-boarding". Here you can group all the Engagements, you use during the pre-boarding. The type you choose should depend on the purpose of your Engagement. If you wish to create some sort of questionnaire with anonymous responses, choose the type Anonymous. Should the Engagement you are creating be related to a Employee Development Interview, choose this type. Choose the type Standard if the Engagement is related to other processes such as on-,pre- or offboarding.

Manager response

You can enable or disable the function Manager Response. If you enable it, the immediate manager will also receive the Engagement. The manager will receive all the same questions as the employee, which makes it easy to compare the respective answers later on. Additionally, you can send the results to the employee as a PDF. Finally, you can choose which departments should be able to access the Engagement. Conclude by clicking save and close.

If you disable Manager Response, the manager will instead have the opportunity to attach a comment to the employee's different answers. It is possible to do so before, during or after the employee development interview. The comments can be accessed by clicking on the speech bubble icon that will appear by the employee's answer.

Below you can see an example of an Engagement that displays both comment options. The example displays where to find the manager response if this has been enabled and where the manager can attach their comments if you disable manager response.

Anonymous

Furthermore, you can choose whether or not your Engagement should be anonymous. This can be used if you e.g. want sent out a questionnaire where your employees' answers should be anonymous. You will not be able to see, what the individual employee has responded or if they have completed the Engagement. You will, however, be able to see a general overview.

Content: Add content

Once you have completed the steps above, you can start adding the contents of the Engagement. You can do so in the tab Content.

As you can see, three pages have automatically been created - a first page, an overview and a last page. The overview page can be deselected by clicking on the slider next to Enable overview page. The overview page allows the employee to review their answers before they conclude the Engagement.

As all pages will need a page title, and we recommend that you start by filling this out when you create a new page. Once the page has been given a title you can move on to writing a text, add a picture, add a link or upload a video. On the right you can see a preview of how the Engagement will be displayed on a smartphone. When you have completed the first page, click on add page in the menu on the left. You can always return and edit the pages.

From page number two and the following pages you can add even more functions. You can find these functions under Content, just below the text field. Click on add fieldThe field lets you choose what kind of function you wish to add. You can find some examples below.

Setup: Add logo and switch up the colors

Once you have created the pages of your Engagement you can edit the design. This is done by clicking on the tab Setup. On the left you can change some parameters of the Engagement, and on the right you can get a preview of how the final product will appear.

Below you can see how you switch between Content and Setup of the Engagement.

 

You can add a logo by using the field Logo. Click on the dropdown menu (which is set to display No logo by default) to choose your company logo or a user-defined logo. If you choose the latter option, you will have to upload a logo. Next, choose the size of the logo by clicking on width.

On the right you can choose the color of your Engagement. Click on the colored square to change the color of the background, text and the effects.

Setup: Miscellaneous

Here you can choose which date format you want to use in the Engagement. Furthermore, you can add an error message for when a mobile phone number is missing on an employee. If you choose to leave it empty, the system will send a default message. It is possible to send out an Engagement without a mobile phone number. However, we recommend to have your employees set up with a mobile phone number if they are to receive Engagements. This adds a level of security. When they receive an Engagement, they will be asked to enter a pin code that is sent to their mobile phone.

Setup: Draft your e-mail

Finally, you can draft the e-mail that will be send out along with the to the Engagement. Please note that you must include the link in the e-mail text box. Do this by adding a hashtag and then choose link from the dropdown list.

Additionally, you can decide what the link button itself should say. You can also decide on a default channel - whether it is e-mail or SMS.

The field Standard recipient lets you select who should receive the Engagement. If you fill out this field the Engagement will be send to this person instead of the employee to whom the Engagement is attached.

Notifications

You can setup a notification that reminds the employee that they need to complete the Engagement. Use the premade text or click on the three dots on the right to edit or delete the notification. Learn more about how to setup notifications here.

Completion of Engagement allows you to setup a notification that alerts you once the Engagement has been completed by the employee.
