Engagement Builder Tab Options

Discover the options and functions of the Engagement Builder tool.

 

Assignments

Engagements can be assigned through the tab Engagement or through the tab Employees. Simply click on Assign engagement and then chose who the engagement should be assigned to.

Another way to do it is by going to the tab Employees and then clicking on Engagements and then Assign Engagement.

It is possible to assign Engagements to multiple employees at the time. Do so by ticking the boxes next to the relevant employees. Use the function with selected and then click on Assign Engagement.

Next, choose the relevant Engagement, start date (the day you want the employee to receive the link), a deadline and a reminder. Channel allows you to choose where the employee should receive the link via e-mail or SMS.

In the field e-mail you can customize the text and title you drafted when you created the Engagement. Finally, you can send this e-mail to an employee's secondary e-mail. If you choose not to, it will be send to the primary e-mail. You can also opt-out of the two-step authentication. Complete by clicking send.

Terminology explained: Assign vs. recipient

When we talk about the function Engagement we use the terms "assign" and "recipient".

This is the difference between the two terms:

Assign: An Engagement is assigned to the employee which the Engagement concerns.

Recipient: Recipient is used when an somebody, other than the employee it actually concerns, is supposed to fill out information about the employee in question.

Default recipient/recipient

You have two options if you have created an Engagement that is to be completed by someone other than the employee is has been assigned to:

One, is when you create the Engagement. Choose "default recipient" under the tab set up. This function is useful if the Engagement in question always needs to be forwarded to the same recipient. For example, if the immediate manager of the employee in question is always supposed to fill out the Engagement. This would make the immediate manager the standard recipient.

The other option you have is when assigning an Engagement to an employee. When you do this, you simply fill out the field that says "recipient". This field lets you decide who should receive the Engagement, and hence fill out the Engagement attached to the employee in question.

 

Assignment

If you create an Engagement that is to be filled out by the concerned employee only, you do not need to worry about the fields regarding recipients. An Engagement with no recipient will always be send to the employee to whom the Engagement has been assigned. For example, if the employee needs to update their own data on their employee data card. If this is the case, simply click on the employee in question and then click on Assign Engagement.

 

Choosing managers

When you are assigning an Engagement you will see the field select the employee's direct manager. This field is solely relevant if the manager needs to be able to access the information that has been entered by the employee. This could be relevant when it comes to employee development interviews.

Assignments: Overview of completed engagements

The tab Assignments gives you an overview of all the Engagements that has been assigned. On the right side of the Assign Engagement button you can sort the Engagements by Ongoing, Archived or All Engagements.

To see how much of an Engagement an employee has completed click on the category to unfold it. You can now see Name, Employee, Department etc.

On the far right you can see the completion status shown in percentages. When you click on the Status bar, a new window will appear. In this window you can see the status and results. Below Status you can see the details of the Engagement and below Results you can see employee's answers.

Please note! If you have send out an anonymous Engagement the overview will appear slightly different. This is due to the fact that you cannot see the employee's direct answers as they have been anonymized. You will, however, be able to see all the answers comprehended in either a bar - or pie chart.

Templates

If you wish to create a new Engagement, you can do so by clicking on the tab Templates. You can find  a thorough guide in the article Create an Engagement. In the Engagement tab you can also find a overview of all the Engagements you have already created. These are sorted by the different types Standard, Employee Development plan and Anonymous.

To edit an Engagement click on the title to make it unfold. This allows you to switch around the pages, delete pages or add a new one. You can also edit the contents of the different pages. Learn more about this see the entry Create an Engagement.

You can copy a template by clicking on the three dots on the right side of the Engagement and then on clone template.

Types

It is possible to create your own engagement types as an addition to the ones already set up in Staff. Engagement types allow you to govern the access to engagement. You can decide which roles should have access to set- up, assign, and access the results for each type. You can set- up these permission in Roles and Permission.
